Confidentiality and Privacy
Before you receive any formal advice or services you will be advised of the conditions of service and you will need to sign your agreement to these conditions.
Consultants are experienced and qualified to provide HR and Employment Law advice. HR Consultants are members of the Chartered Institute of Personnel Development (CIPD). Confidential advice is offered in good faith, based on the information provided to them by you. Consultants will make every effort to provide advice which is accurate and up to date in relation to current employment law. From time to time, in very complex cases, case conferences and research may be undertaken to ensure you are being offered the very best professional advice at all times. Where this is required, your details will not be shared and you will only be referred to by client reference number. You details will only be disclosed if ordered to do so by a court of law.
During a consultation, the Consultant will make written notes and will also maintain an electronic record of advice and discussions. All written documentation will be either destroyed or secured at the end of each working day.
Note: If you choose to provide feedback or a testimonial about our services at VenusHR Ltd, you agree that this can be publicised. In order to protect your privacy, for private clients, only your first name and the first letter of your last name and your home town will be publicised. For business clients, you may choose to tailor your feedback accordingly if our services have involved complex disciplinary matters. We will only use the business name and the home town of the business. In order to ensure your privacy is protected, feedback will only be publicised after it is reviewed and approved by VenusHR Ltd.
From time to time, VenusHR Ltd may ask if you would agree to provide a personal reference about our services to one of our potential clients. These requests will always require your written permission to disclose your contact details. Details of your case will remain strictly confidential and you are under no obligation to agree to our request.
VenusHR Ltd will keep all of your personal information strictly confidential in accordance with the Data Protection Act 1988. Your privacy will be protected at all times and not shared with any third party without your expressed permission, except in circumstances where you have provided VenusHR Ltd with information that might indicate a threat to your life, or that of someone else, we reserve the right to report this information to the emergency services. Before proceeding with this we would inform you of these intentions.
VenusHR Ltd will retain all electronic documents in relation to your case for a period of 1 year after work has been completed. All written notes will be transferred to your electronic record and then written notes will be destroyed immediately.
VenusHR Ltd welcomes your feedback and suggestions and will ask you to complete a feedback form following the free initial consultation and on completion of services. Your feedback will not be shared unless you provide your expressed permission for VenusHR Ltd to do so.
In order to continuously evaluate and improve our services, from time to time, VenusHR Ltd may approach you to ask you to complete a client survey relating to the delivery of our services. You are under no obligation to do so. However, you are assured that your personal information will not be shared in any published results.
Consultations
Your initial discussion is free, however an appointment may need to be made for this session. You will be advised accordingly when contacting VenusHR Ltd. We will always endeavour to meet urgent advice requirements.
VenusHR Ltd reserves the right not to provide advice if a Consultant believes that they have been given false or incomplete information.
VenusHR Ltd will always conduct ourselves with the utmost honesty and integrity, but we cannot guarantee the outcome that you seek. VenusHR Ltd may need to decline your request for on-going advice and support if, regrettably, we do not feel we can help and reserve the right to do so.
If VenusHR Ltd believes you need alternative specialist advice, you will be advised.
Appointments must also be made for follow up advisory sessions and VenusHR Ltd must be in receipt of a cleared payment in advance of the appointment.
Each appointment will last for either thirty (30) or sixty (60) minutes and you will be advised of the cost when making the appointment. These sessions will take place at a time, place, method and duration agreed in advance. Consultations can be carried out on evenings and weekends by prior arrangements. Consultations can also be carried out face to face in Swindon and the surrounding areas and/or by special arrangement.
VenusHR Ltd reserves the right to terminate a consultation immediately if you commit or threaten to commit any physical harm to yourself or a Consultant.
VenusHR Ltd also reserves the right to terminate a consultation if you are believed to be under the influence of alcohol, or any non-prescription drugs.
Cancellations
If for any reason VenusHR Ltd has to cancel your appointment, we will endeavour to do so within 48 hours and find another appointment to suit you. If VenusHR Ltd is unable to find another time, you will receive a full refund.
If you need to cancel or change an appointment you must do so within 2 working days in order to change your appointment or receive a refund.
Payments for urgent consultation appointments made less than 2 working days in advance are non-refundable.
Cost of Services
As requirements for services are varied according to how complex your case may be, a written proposal, outlining service options and cost will be sent to you following your initial free discussion. VenusHR Ltd will always aim to provide you with our service proposal within 48 hours of the initial free discussion. An invoice for payment in advance will also be provided. However, you are under no obligation to accept the proposal or make any payment. Cleared payment must be made before work will commence on your case. Further payments must be made in accordance with the agreed schedule in order for work to continue.
